Primary Purpose
  • State briefly the principal purpose of the position, its major objectives and the impact the position has on Citibank.
  • The principal purpose of the General Services officer position is to implement relevant Citi’s policies on the provision of support services to units/employees with the objective of providing administrative support services to Citibank’s business in Nigeria.
  • The impact is an adequately managed logistics and a careful execution of general business requests of the Citi franchise in Nigeria whilst achieving business-wide cost saves; provision of general clerical support services and well managed relationships with relevant logistics providers.
Principal Accountabilities
  • List a series of brief statement s which describe only the major activities for which this job is held accountable.
  • Mailroom Management: Manage the relationship between Citibank and Fedex (Redstar). Receive reports, track major issues to resolution and maintain relevant metrics.
  • Protocol/Logistics: Manage relationship between Citibank and various providers of fleet/transportation services, hotel reservation services, air travel reservation services, visa services, etc
  • Switchboard/Reception: Manage the relationship between Citibank and the service providers of switchboard operation and the bank’s reception hall. Maintain relevant metrics and track major issues to resolution
  • Support staffing: Liaise with relevant suppliers on the provision of Clerical/Admin support services to various businesses within Citi Nigeria.
  • Managed Print Services: Liaise with MPS service providers to ensure that the organization’s print solutions are delivered effectively.
  • Oversee the transactional procurement services in-country (spends less than $25,000)
  • Take responsibility for GS Core Services - Archiving, MPS, Corporate cards, Car Program,
  • Global Travel, Mail Services & Transactional & Marketing Print
Other Functions
  • Provide support where necessary on fixed assets as they are captured on P2P FA module and costs properly allocated to appropriate business units. Ensure that all tickets are adequately approved according to policy.
  • Generating reports on Fixed Assets as may be required by staff and management.
  • Assets numbering and annual physical verifications.
  • Ensure integrity of Fixed Assets records on locations, purchase amounts (book values & accounting entries both in Flexcube and spreadsheet.
  • Ensure prompt rendition of WHT and VAT to regulatory authorities to avoid sanctions.
  • Manage CASP relationship for GS suppliers and maintain relevant documentations with respect to assessments, selections, registrations, performance monitoring/reviews, contracts
  • Ensure GS OPS suppliers’ service contracts’ terms are updated and renewed upon expiry.
  • Administer and maintain the GS queue of Resolve IT Tasks.
  • Effective backup for residual AP desk
Business Relationships
  • Describe the types of internal/external relationships and frequency of contract (e.g., customers, regulators, government agencies, Citibank departments/businesses).
  • Internal: Staff, Support Staff, Departments, Auditors & Branches nationwide.
  • External: Vendors, Government agencies, regulators,

Qualifications

Specialised Skills/Experience:

  • BSc
  • 2 - 5 years working experience.
  • Good negotiation skills.
